4. How We Store Your Data

We take data security seriously:

• Retention: Survey records and client information are retained for 6 years (in line with professional indemnity insurance requirements and RICS guidance). You may request deletion sooner where no legal or professional obligation exists.

• Estate Agents & Solicitors: To arrange inspection access and coordinate with parties to the transaction
• Lenders: Where a lender is an identified intended user of a separately agreed valuation and you have authorised the disclosure
• Payment Processors: To securely process invoices and payments (we use compliant third-party processors)
• RICS: In the event of a formal complaint, data may be shared with RICS as part of dispute resolution
• Insurance Providers: Your data may be shared with our professional indemnity insurance provider for claims purposes
• Legal & Regulatory Authorities: If required by law (court orders, regulatory investigations)

We do not sell or rent your personal data to third parties for marketing purposes.

10. Business Contacts and Agent Referral Scheme Members

This section covers estate agents and other property professionals: people we contact about our services at work, and negotiators who join our agent referral scheme.

• What we hold: for business contacts, your name, job title, agency, branch, area and work email, and a record of the emails we have sent you and whether you asked us to stop. For scheme members, the details you give when you join (name, job title, agency, branch and postcode, work and optional preferred email, phone, optional manager details, your confirmation that your employer allows referral fees and the terms version you accepted), the referrals you make and the fees we pay you. We ask for bank details by email only when a fee is due, and keep them with our payment records rather than on the website.
• Where it comes from: for business contacts, the work details your employer publishes on its website (for example a branch team page). For members, from you.
• Why we use it: to introduce our surveying services to people whose work involves home buyers, to run the referral scheme, contact referred clients, track referrals and pay fees.
• Lawful basis: legitimate interests for business contacts (a short, relevant introduction to a professional at their published work address, with a follow-up at most, and a one-click opt-out in every email); for members, the scheme terms you accept (contract), plus legal obligations for payment records. Referred clients’ details are used because the client agreed to be contacted, as the referring agent confirms.
• Your choices: every introduction email has a one-click unsubscribe link, or you can reply “unsubscribe” or email Joe@JBS-Surveying.co.uk. You can object at any time and we will stop straight away.
• How long we keep it: if you object or unsubscribe, we keep your email address on a suppression list indefinitely, as the minimum needed to make sure we never contact you again. Other business contact details are deleted 24 months after we last contacted you, unless you have become a scheme member. Member and referral records are kept while you are a member and then for 6 years from the last referral or payment, in line with our accounting and professional record-keeping obligations.
• Who sees it: our email provider (Resend) and database host (Supabase) process it on our behalf. We do not sell or share it for marketing. Referring agents see only the progress of their referrals, never survey findings.

We may update this privacy policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Your continued use of our services constitutes acceptance of the updated policy.
